The University of Maine School of Law is seeking to fill the position of Special Assistant to the Dean. This position is located in Portland
on the University of Southern Maine campus.

Based on the qualifications and experience of the successful applicant, the annual
salary range is low to mid $40’s, commensurate with experience, plus a 10% employer contribution to the UMS retirement plan. Additional

Under minimal supervision, this position is charged with managing and executing a wide range of administrative,
operational, and executive support activities for the Deans office at the School of Law. As the principal aide to the Dean, this includes
coordination and oversight of the Dean’s calendar and action items/projects (for self and others) as well as a full range of
operational and logistical duties. This professional works concurrently in multiple areas of responsibility, initiatives, and issues while
assisting the Dean with identifying and meeting often unforeseen requests and deadlines. The individual represents the Dean and the
Dean’s interests to a wide variety of high-level contacts internal and external to the University System including the Chancellor,
Presidents, Board members and governmental and business leaders. This person conducts these responsibilities per consultation and regular
meetings with the Dean in order that their work is an extension of the Dean’s objectives. This position coordinates the activities of
the Dean’s Office while maintaining confidentiality and integrity. Working on high-level activities and duties at certain points and
handling the basic and necessary clerical duties of the office as well, this position presents an interesting mix of substantial
responsibilities. This position serves as the point of contact for many external constituencies and plays a pivotal role in Law School


  • Assists the Dean in
    implementing the overall goals and objectives of the Law School’s program of legal education.
  • Responds to inquiries from the
    public, the bench and bar, faculty, staff, students and other University departments, providing information on administrative or academic
    areas, some of which may require interpretation of policy.
  • Manages the Dean’s and the Law School’s communications,
    calendar, daily schedule, files and travel, including prioritizing calendar conflicts and requests. Ensures appropriate research and
    retrieval of information pertaining to meetings and events. Briefs Dean on matters of importance as appropriate.
  • Coordinates with
    the Director of Development and External Relations in providing administrative and planning support with respect to the cultivation and
    stewardship of the Law School’s major gift donors and prospects. This includes coordinating and providing logistical support for
    committee meetings, solicitation training sessions, special events, one-on-one meetings of Dean, donors and volunteer solicitors, as well as
    follow-up communications as needed.
  • Creates and coordinates Law School and Dean communications, including regular communication
    within the University System, and outside of the system to the national Deans List, the Legislature, the Executive.
  • Provides
    marketing support and coordination to the Dean and to the Director of Development and Alumni Relations with respect to management of the Law
    School’s major gift donor and prospect database.
  • Assists in developing and implementing social media presentations and
    strategies and tactics that grow enrollment, create community and enhance the Law School’s brand reputation through the creative use
    of current technologies. (ex. YouTube, Facebook, Twitter, Instagram)
  • Coordinates with marketing contractors and vendors as
  • Processes confidential information on all issues of Law School administration.
  • Coordinates preparation of
    Dean’s correspondence, memoranda, and reports.
  • Maintains complex paper and computer filing and database systems.
  • Maintains selected portal content.
